How will I get my W-2?

Beginning with the 2017 Forms W-2 (issued January 2018), Johns Hopkins has created an in-house process to provide W-2s. For those who elect to receive their W-2s electronically, the forms will be available on the Employee Self Service (ESS) website. For those who do not, a copy of the form will be mailed to the home address in ESS.

All former employees will be mailed a copy of their W-2 to the home address in ESS.

Why the change?

The decision to produce and distribute W-2s without the support of outside vendors is part of ongoing efforts to protect our systems from cyber threats and keep our employees’ information secure.

Turbo Tax Users: Import Codes

Please note that for security purposes Johns Hopkins has elected to forgo the use of import codes on the W-2s. This means that you will not be able to automatically upload your W-2 into your tax software as you may have done in the past. We will reevaluate the use of import codes in the future.

What do I need to do?

For Electronic W-2 Access: If you elected to receive your W-2 electronically, you can access it in ESS. Please click on the “W-2 Access” section for instructions on how to access. If you elected to receive your W-2 electronically you will not receive a copy in the mail.

For mailed W-2s: If you did not complete the consent by December 31st, your W-2 will be mailed to the permanent address in your ESS record. Your W-2 will be postmarked and mailed by January 31st of the following year.

To access your electronic W-2, go to the Johns Hopkins Employee Self Service website (ESS), which can be accessed from the myJHU portal under the HR tab on the left.

You will be presented with the following Login page. Click on “Login to ESS”.

After you click on “Login to ESS” you will be presented with following screen to enter your JHED ID followed by@jh.edu and password.   Your JHED ID and password should pre-populate for you.  If it does not pre-populate, please enter your JHED ID followed by@jh.edu and password.  Once your JHED ID and password are entered into this screen, click on the “Sign in” button.

After you click “Sign in” one of the two screens below will be presented for a second step of authentication. Depending on the type of Multi-Factor Authentication (MFA), enter your Login Code or respond to the request sent to your device.

If you do not currently use any form of Multi-Factor Authentication (MFA), you will not see the screens below and should go to ESS Access/Help.

Once you are logged into ESS, you will be presented with the ESS Home screen shown below.  Click on the “W-2 Information” link.

You will be taken to the W-2 Information Home page (shown below).  Here you will find the links to your W-2 and to the W-2 instructions.  Please follow the steps below to access your W-2 and the W-2 Instructions.

Start by clicking on “Online W-2”. 

This will take you to the screen where you can access your electronic W-2 (see below).  This is a short, two-step process.  First, click on the W-2 below to select the year you wish to display.  Second, click on “Display”.   You will then be presented with your W-2.

If you place your cursor over the W-2,  you will be presented with a small menu that will give you the option to save or print.  See below.  Use this menu to download and/or print your W-2.

You will now need to access the employee instructions for the W-2.   You can do that by clicking on “W2 Information” in the top menu (see above) to be taken back to the W-2 Information Home Page. 

On the W-2 Information Home Page, click on “Online W-2 Instructions” to access the Employee W-2 Instructions.  If you place your cursor over the instructions you will be presented with the same print/save menu presented for the W-2.  You can use this menu to save and/or print the instructions.

**** For security purposes, an email will be sent to you every time your W-2 is accessed in ESS. Please look for this email. ****

If you do not elect to receive your W-2 electronically, a paper copy will be mailed to the permanent address in your ESS record.

If you consent to receive your W-2 electronically you will no longer receive a paper W-2. Instead it is now available for review, download and print on ESS.  If you previously consented in ESS to receive your W-2 electronically, you do not need to consent again.

If you terminated your employment prior to the distribution of the W-2s, a copy of your W-2 will be mailed  to the permanent address in your ESS record. This is true even if you consent to receive electronically while you are still employed.

How to Consent to Receive your W-2 Online (via ESS)

To complete the consent to receive your W-2 electronically, go to the Johns Hopkins Employee Self Service website (ESS), which can be accessed from the myJHU portal under the HR tab on the left.

After you click on “Login to ESS” you will be presented with following screen to enter your JHED ID followed by@jh.edu and password. Your JHED ID and password should pre-populate for you. If it does not pre-populate, please enter your JHED ID followed by@jh.edu and password. Once your JHED ID and password are entered into this screen, click on the “Sign in” button.

After you click “Sign in” one of the two screens below will be presented for a second step of authentication. Depending on the type of Multi-Factor Authentication (MFA), enter your Login Code or respond to the request sent to your device.

Once you are logged in to ESS, follow these steps to consent to an online W-2:

  • Click “W-2 Information” on the bottom left-hand side.
  • On the next screen click “Online W-2 Election.”
  • After you click on “Receive W-2 Online”, you will be presented with a confirmation, pop-up box asking you to confirm your election. If you wish to proceed to consent to receive your W-2 online, click “OK” to confirm your consent.
  • Be sure to note the instructions under “Additional Information” for further information.
